Standing Charges Not Generating – Troubleshooting Guide

Modified on Fri, 2 Jan at 2:48 PM

If standing charges are not being raised as expected, review the checks below. In most cases, one of these settings is preventing charges from generating.

1. Incorrect Reporting Period Selected

The reporting period selected may not match the lease charging cycle.

Resolution

  • Confirm the Reporting Period selected when running standing charges is correct.

  • Navigate to Standing Charges and verify the Reporting Period.

  • Amend the period if required and re-run standing charges.

2. Standing Charges Already Generated

Charges may already exist for the selected period.

Resolution

  • Check whether standing charges have already been processed.

  • Go to Leases > Tenant Activity.

  • Review the Tenant Activity Report to confirm if recurring charges were raised for that period.

3. Incorrect Next Charging Date

The Next Charging Date must fall within the selected Reporting Period.
If standing charges run successfully, the system automatically advances this date.

Example

  • Reporting Period: 01/06/2025 – 30/06/2025

  • Next Charging Date: 01/05/2025
→ No June charges will be raised.

Resolution

  • Go to Lease > Lease Summary.

  • Open Charges and Rent Reviews.

  • Expand the relevant charge.

  • Review the Next Charging Date.

  • If incorrect:

    • Click the Edit (pencil) icon.

    • Update the Next Charging Date to align with the reporting period.

    • Click Save Charge.

  • If a prior period was missed, re-run standing charges for the earlier period first.

Tip
To review Next Charging Dates in bulk, generate the Check Next Charging Date report via:
Management Reports > Excel Reports.

4. Stop Charging Date Entered

A Stop Charging Date will prevent charges from being raised.

Resolution

  • Go to Lease > Lease Summary.

  • Open Charges and Rent Reviews.

  • Expand each lease charge.

  • Check the Stop Charging Date under Charging Status.

  • If incorrect:

    • Click the Edit (pencil) icon.

    • Update the Stop Charging Date to a future date or 31/12/2999.

    • Click Save Charge.

5. To Date Entered on Lease Charge

A To Date earlier than the reporting period end date will stop charges.

Example

  • Lease Charge To Date: 31/05/2025

  • Reporting Period: 01/06/2025 – 30/06/2025
→ No June charges will be raised.

Resolution

  • Go to Lease > Lease Summary.

  • Open Charges and Rent Reviews.

  • Expand the lease charge.

  • Review the To Date.

  • Update to 31/12/2999 if ongoing charges are required.

  • Click Save Charge.

6. Property Calendar Not Extended

You may see the error:
“No calendar exists for the chosen periods.”

Resolution

  • Extend the Property Calendar to cover the required reporting period.

  • Refer to the Extend Property Calendar article for step-by-step instructions.

7. Unit Occupancy Dates Not Valid

You may see the error:
“Could not find a unit at the date range chosen for Property and Lease.”

Resolution

  • Go to Lease > Lease Summary.

  • Open Charges and Rent Reviews.

  • Navigate to Unit Details > Occupancy Dates.

  • Confirm the occupancy dates cover the reporting period.

  • Check whether the lease has been vacated.

  • Update unit occupancy if required (refer to Managing Unit History).

Summary

Standing charges will only generate when:

  • The reporting period is correct

  • Charges have not already been raised

  • Next Charging Date falls within the period

  • No Stop Date or restrictive To Date exists

  • The property calendar and unit occupancy are valid

Reviewing these items will resolve the majority of standing charge issues quickly.
