Tenant Paid To Dates

Modified on Thu, 26 Feb at 2:47 AM

A Tenant Paid To Date represents the date up to which a tenant’s rent has been paid, based on all funds received. This date is used by tenants, property managers, and landlords to monitor rent payment status and identify whether a tenant is current or in arrears.

In commercial property management, rent is typically calculated through invoiced periods (commonly monthly). Tenants receive invoices for these periods and make payments accordingly.

In Cirrus8, the Tenant Paid To Date is displayed across three reports:

  • Cash Report

  • Long Report

  • Compact Report

Each report calculates the Paid To Date differently, which can result in variations in displayed dates.

1. Cash and Long Reports

How the Paid To Date is calculated

When viewing the Cash or Long report, Cirrus8:

  1. Identifies the most recently paid invoiced period.

  2. Uses the last day of that invoice period as the Paid To Date.

Example

  • Most recent invoice period: November

  • Tenant has made payments toward this invoice

  • Paid To Date displayed: 30 November

Limitation

This method can produce misleading results if earlier invoice periods remain unpaid.

Example scenario:

  • October invoice → unpaid

  • November invoice → paid

Result:

  • Paid To Date displays 30 November, even though the tenant still owes rent for October.

2. Compact Report

How the Paid To Date is calculated

When viewing the Compact Report, Cirrus8:

  1. Searches for the oldest unpaid invoice period.

  2. Sets the Paid To Date to the last day of the previous fully paid period.

Example

  • November invoice → unpaid

  • All prior periods → fully paid

Result:

  • Paid To Date displays 31 October.

Limitation

If any previous period is not fully paid (even by a small amount), the Paid To Date moves back to the period before it.

Example scenario:

  • October invoice → short by $100

  • November invoice → fully paid

Result:

  • Paid To Date displays 30 September, as October is not fully settled.

Key Summary

ReportCalculation MethodPotential Issue
Cash ReportUses most recently paid invoice periodMay ignore older unpaid periods
Long ReportSame as Cash ReportMay overstate Paid To Date
Compact ReportUses oldest unpaid periodMay appear earlier due to partial payments

Practical Guidance

When reviewing Tenant Paid To Dates:

  1. Check which report is being used, as calculations differ.

  2. Review invoice history, not just the Paid To Date.

  3. Be cautious where:

    • Earlier periods are unpaid, or

    • Periods are only partially paid.

  4. Use multiple reports when validating tenant payment status.
